Halton outdoor Club - Code of Conduct
1. Purpose
The Halton Outdoor Club (the “Club”) is committed to providing a safe, respectful, inclusive, and enjoyable environment for all members, non-members, volunteers, leaders, partners, and participants [known as Everyone].
This Code of Conduct outlines standards of behaviour expected of everyone while participating in Club activities or representing the Club in any capacity.
2. Scope and Application
This Code of Conduct always applies to Everyone when they are:
- Participating in Club-organized events, outings, meetings, or programs.
- Interacting with members, volunteers, leaders, guests, contractors, or members of the public in a Club-related context and Communicating through Club platforms, including email, social media, messaging applications, and virtual or in-person meetings
- Representing, or reasonably perceived as representing, the Club.
- This Code applies regardless of location and includes travel to and from Club activities where conduct may reasonably impact participant safety or the Club’s reputation.
3. Expected Standards of Behaviour
Members must conduct themselves in a manner that is respectful, safe, and consistent with the Club’s values.
3.1 Respect and Courtesy
- Treat all individuals with respect, dignity, and consideration
- Respect personal space, physical boundaries, and consent at all times
- Use appropriate, non-derogatory, and non-inflammatory language
- Listen respectfully to others, even when opinions differ
3.2 Safety and Responsibility
- Follow all safety instructions provided by event leaders or designated volunteers
- Act in a manner that does not endanger oneself or others
- Assess personal abilities and limitations honestly when participating in activities
- Report hazards, unsafe behaviour, or incidents promptly to an event leader or Club official
- Comply with all applicable municipal, provincial, park, and venue bylaws and posted regulations
3.3 Inclusion and Non-Discrimination
- Foster a welcoming and inclusive environment
- Refrain from discrimination, harassment, or exclusion based on age, gender, race, ethnicity, disability, religion, sexual orientation, or any other protected characteristic
- Support the Club’s commitment to equity, diversity, and inclusion
3.4 Conduct Toward Volunteers and Leaders
- Recognize that event leaders and volunteers give their time to support the Club
- Follow the direction of leaders during events and outings
- Raise concerns or disagreements in a respectful and constructive manner
3.5 Communication and Conflict Resolution
- Address concerns calmly and respectfully
- Avoid confrontational, aggressive, or abusive behaviour
- Refrain from public arguments or disruptive conduct during Club activities
- Use established Club channels to raise complaints or concerns
3.6 Alcohol, Substances, and Impairment
- Everyone must: Not participate in Club activities while impaired by alcohol, drugs, or other substances
- Comply with all applicable laws, venue rules, and Club policies regarding substance use
4. Unacceptable Conduct
Unacceptable conduct includes, but is not limited to:
- Harassment, bullying, intimidation, or threatening behaviour
- Unwanted physical contact or invasion of personal space
- Derogatory, inflammatory, or abusive language
- Disruptive behaviour that detracts from the enjoyment or safety of others
- Failure to follow the reasonable directions of event leaders or Club officials
- Conduct that may damage the reputation of the Club
- Retaliation against any individual who raises a concern or complaint in good faith
5. Reporting and Cooperation
Everyone is encouraged to report suspected breaches of this Code to an event leader, the Club Manager, or a member of the Board of Directors. Everyone is expected to cooperate fully and honestly in any review, inquiry, or investigation conducted by the Club. Reports will be handled respectfully, confidentially where possible, and in accordance with the Club’s By-Laws and procedures.
6. Enforcement and Disciplinary Action
Breaches of this Code of Conduct will be addressed in accordance with Section 8.03 of the Club’s By-Laws, which provides that:
The Board may, upon written notice, authorize disciplinary action or termination of membership for cause.
Disciplinary action may include restriction or refusal of participation in Club events or outings.
Members will be provided an opportunity to submit a written response within
the timelines set out in the By-Laws. The Board will consider any written submission before making a final decision.
Disciplinary measures may include, but are not limited to:
Verbal or written warnings, temporary suspension or restriction from activities, termination of membership for cause.
7. Acknowledgement
Membership in the Halton Outdoor Club constitutes acknowledgment of, and agreement to comply with this Code of Conduct and the Club’s By-Laws. By joining and maintaining membership in the Halton Outdoor club, members acknowledge that they have read, understood, and agree to abide by this Code of Conduct.
8. Review and Amendment
This Code of Conduct may be amended by the Board of Directors from time to time. The most current version will apply.

- Concerns can be reported to a leader, the Club Manager, or the Board
- Members are expected to cooperate if the Club investigates an issue
- What Happens If the Code Is Not Followed
- The Club may issue warnings, restrict participation, suspend, or terminate membership
- Serious or repeated issues may result in termination for cause
- All discipline follows By-Law 8.03, including notice and an opportunity to respond
